Job Description Summary: The Marketing Event Specialist is responsible for planning, coordinating, and executing a portfolio of trade shows, conferences, customer events, and internal events that support the organization’s marketing and business objectives. This role manages event logistics from conception through execution, collaborates cross-functionally with internal stakeholders and external vendors, and ensures exceptional attendee experiences while maintaining budget and operational efficiency. The ideal candidate is highly organized, detail-oriented, proactive, and thrives in a fast-paced environment managing multiple projects simultaneously.
Primary Responsibilities
- Event Planning and Execution Manage assigned trade shows, conferences, customer events, and internal events from initial planning through post-event reporting.
- Coordinate event logistics including registration, housing, transportation, food and beverage, audiovisual, shipping, signage, and on-site staffing.
- Develop and maintain detailed project plans, timelines, and production schedules.
- Execute on-site event management and serve as the primary point of contact during assigned events.
- Ensure events are executed on time, within budget, and aligned with organizational objectives.
- Vendor and Budget Management Coordinate with venues, vendors, agencies, and external partners to secure services and negotiate contracts.
- Track event budgets, purchase orders, invoices, and expenses.
- Monitor expenditures and identify opportunities for cost savings.
- Cross-Functional Collaboration Partner with marketing, sales, customer success, product, and executive stakeholders to support event objectives.
- Coordinate event deliverables including branding, promotional materials, booth assets, and attendee communications.
- Support sponsorship fulfillment activities and partner activations.
- Reporting and Operations Maintain event documentation, standard operating procedures, and project management systems.
- Track event metrics including attendance, leads, engagement, and ROI.
- Conduct post-event evaluations and provide recommendations for process improvements.
- Experience and Skills Requirements 2 - 5 years of experience in event marketing, trade shows, conferences, or corporate events.
- Experience managing multiple projects simultaneously in a fast-paced environment.
- Strong organizational, communication, and project management skills.
- The ability to think creatively and work collaboratively.
- Initiative and follow-through skills with special attention to detail.
- Ability to travel 30% of the time, primarily on weekends, based on business needs.
