Job Description: The Clinical Implementation Consultant serves as the clinical Subject Matter Expert (SME) for healthcare data archiving, legacy-system retirement, and clinical data migration initiatives.

This client-facing role serves as the clinical liaison between healthcare organizations and ELLKAY's technical and implementation teams, ensuring historical patient information is preserved accurately and remains accessible, interpretable, and usable following migration. The Clinical Implementation Consultant is responsible for evaluating the clinical integrity of the archived patient record, including whether information retains its intended clinical meaning, context, chronology, relationships, and usability after migration. The role translates clinical workflows, source-system functionality, and medical-record requirements into clear solution-design, configuration, data-mapping, testing, and validation requirements.

Working collaboratively with Project Management, Data Analysis, Data Mapping, Data Modeling, Engineering, Quality Assurance, Product, Center of Excellence, Clinical Success Management, and Support, the Clinical Implementation Consultant supports the full implementation lifecycle from discovery and solution design through data validation, client acceptance, go-live, stabilization, and transition to support. The role does not replace the technical accountability of Data Engineering, Data Mapping, Quality Assurance, or Project Management. This role provides the clinical expertise necessary to ensure technical implementation decisions preserve the meaning, integrity, accessibility, and usability of the historical clinical record.

Essential Duties & Responsibilities: Clinical Discovery & Requirements Gather, analyze, document, and validate clinical, workflow, operational, and historical-record requirements. Analyze legacy clinical applications and workflows to understand how patient information is captured, presented, and used. Identify clinically significant data, workflow dependencies, and record-access requirements that impact solution design. including but not limited to medications, allergies, diagnoses, problem lists, laboratory results, clinical notes, encounters, documents, images, and historical reports.

Translate clinical requirements into clear functional, configuration, data-mapping, testing, and validation requirements. Identify solution gaps, limitations, risks, and dependencies and recommend appropriate alternatives. Partner with Project Management to support scope, milestones, client expectations, and implementation planning.

Clinical Solution Design & Data Mapping Serve as the clinical SME for archive solution design, configuration, and clinical data-mapping decisions. Collaborate with Data Analysis, Data Mapping, Data Modeling, Engineering, and Quality Assurance throughout implementation. Review data mappings and transformation decisions to ensure clinical meaning, context, chronology, and relationships are preserved.

Evaluate how structured and unstructured clinical content is represented and accessed within the archive. Identify and escalate gaps, inconsistencies, or unintended changes in clinical meaning or usability. Partner with technical teams to resolve clinical data, configuration, display, and usability issues.

Clinical Validation & Implementation Readiness Develop and execute clinical validation plans, test scenarios, and acceptance criteria. Perform clinical-data validation alongside technical reconciliation and QA activities. Develop clinically realistic test scenarios reflecting clinical care, HIM, ROI, compliance, audit, legal, and historical-record retrieval needs.

Validate that archived records are accurate, complete, clinically coherent, interpretable, and usable. Lead or support client demonstrations, database turnover, User Acceptance Testing, and validation activities. Assess clinical-data and solution readiness before client validation and production use.

Identify, document, prioritize, and escalate clinical defects, data-quality concerns, usability issues, and implementation risks. Provide documented clinical readiness recommendations to support turnover and go/no-go decisions. Client Engagement, Training & Project Delivery Serve as a trusted clinical advisor and liaison between clients and internal implementation teams.

Participates in project pass-off, status, validation, go-live, and lessons-learned meetings. Translate client feedback and clinical requirements into actionable project tasks, decisions, and follow-up activities. Communicate clinical risks, dependencies, decisions, and unresolved issues clearly and promptly.

Manage client expectations within established scope, timelines, solution capabilities, and project constraints. Develop and deliver training, workflow guidance, and implementation resources. Support go-live, stabilization, and transition to operational support.

Identify opportunities to improve implementation, validation, training, and client-readiness processes.

Qualifications

  • Education: An associate degree or higher in Nursing, Clinical Informatics, Health Information Management, an ancillary healthcare field, or a related discipline; or 5+ years of relevant clinical healthcare experience.
  • Experience: Working knowledge of clinical workflows in hospital, health-system, ambulatory, or medical-office environments.
  • Experience with EHRs, clinical information systems, healthcare data migration, data conversion, interfaces, clinical informatics, or healthcare technology implementation.
  • Experience working with cross-functional teams, healthcare clients, vendors, or technical partners.
  • Strong clinical judgment, critical-thinking, analytical, problem-solving, communication, documentation, organization, and meeting-facilitation skills.
  • Experience gathering, analyzing, documenting, and validating clinical or operational requirements Ability to manage multiple priorities, work across concurrent implementations, meet deadlines, and operate effectively within cross-functional teams.
  • Proficiency with standard business and productivity applications.
  • Demonstrated ability to identify and escalate risks while maintaining clear ownership and accountability for assigned deliverables Preferred: Current or previous clinical licensure or professional credential, such as RN, LPN, RHIA, RHIT, or another relevant healthcare credential.
  • Experience in clinical informatics, nursing informatics, HIM, ROI, healthcare data governance, or clinical systems implementation.
  • Experience with EHR archiving, legacy-system retirement, EHR conversion, healthcare data migration, or interoperability.
  • Knowledge of healthcare data standards, including HL7 and FHIR.
  • Knowledge of healthcare privacy, medical-record retention, disclosure, and regulatory requirements.
